Automated Driver Licence Checks for UK and Northern Ireland Fleets
Pocket Box is a driver licence checking service UK employers use to confirm, on a schedule they set, that every driver holds a valid licence for the vehicles they drive. Each check reads the DVLA record and alerts the fleet manager to new penalty points, disqualifications, expiries and category changes, so no check codes need chasing.

How Many Points Do Your Drivers Have?
A driver who has picked up points, lost a category or let a photocard lapse rarely tells the transport office straight away. The plastic licence will not show it either, because penalty points have been held only on the DVLA driver record since the paper counterpart was abolished in June 2015.
The Health and Safety at Work etc. Act 1974 applies to driving for work in the same way as to any other work activity, so employers must manage the risks to their drivers and to other road users. Section 87(2) of the Road Traffic Act 1988 also makes it an offence to cause or permit someone to drive a vehicle they are not licensed to drive. Employers who want the legal background, including the free GOV.UK route and the D888/1 postal form, will find it in the guide to the DVLA licence check for employers.
A check at recruitment does not keep up with the record. Penalty points are added when a driver accepts a fixed penalty or is convicted in court, and a driver who reaches 12 within three years faces disqualification. Drivers within two years of passing their first test lose their licence at 6 points. Regular checks are the only reliable way for an employer to see these changes, because the plastic licence does not show them.

Why Regular Licence Checking Matters
Licence checks protect drivers, other road users and the business.
Legal Duty of Care
Employers are responsible for anyone driving on company business, in a company vehicle or their own car. Health and Safety Executive guidance says licences should be checked on recruitment and at intervals after that.
Penalty Points Change
Points are added when a driver accepts a fixed penalty or is convicted, sometimes months after the offence. A regular check shows them before a driver reaches 12 and faces disqualification.
Licences Expire
Photocards need renewing every 10 years, and HGV and bus entitlements lapse unless the driver renews them with a medical. A driver may not notice until the licence is no longer valid.
Category Restrictions
A category B car licence covers vehicles up to 3,500 kg, so a 7.5 tonne vehicle needs C1. A check confirms each driver holds the category for the vehicle they use.
Insurance Requirements
Many fleet insurers ask operators to show that licences are checked regularly. A dated record of every check supports a claim as well as a compliance audit.
How Pocket Box Licence Checking Works
Pocket Box checks each driver’s record with the DVLA on the schedule the fleet manager sets, once the driver has given consent.

Add Your Drivers
The fleet manager enters each driver’s name, address and email in Pocket Box.

Driver Gives Consent
Each driver completes a DVLA declaration once, confirming their licence number and the information to be shared.

Set Your Check Frequency
Choose monthly, quarterly or a custom schedule, with different cycles for different groups of drivers.

Receive Alerts and Act
Pocket Box alerts the fleet manager when a record changes, and every check and the action taken are logged with a date.
What a Driver Licence Check Returns
Each check retrieves the driver record as it stands on the day it runs. Driver CPC and tachograph card details are included only when the driver's declaration covers them.
Licence validity
Is the licence current and valid? Has it expired? Is it due for renewal?
Entitlement categories
What vehicle types is the driver entitled to drive? Cars, vans, HGVs, trailers, minibuses?
Penalty points
How many points are on the licence? What endorsements are recorded? When will points expire?
Disqualifications
Has the driver been disqualified? Is there a current ban?
Medical restrictions
Are there any medical conditions affecting the licence? Any notifiable conditions?
Photo expiry
When does the photocard expire? Drivers need to renew every 10 years.
CPC status
For professional HGV and PSV drivers, we can also check Driver CPC status.
Driver Licence Checking Service UK: Benefits for Fleets
Save Admin Time
Manual checks mean chasing drivers for codes, logging in to GOV.UK and typing results into a spreadsheet. Pocket Box runs every scheduled check without that work.
Never Miss a Check
Once the schedule is set, checks run on time even when the fleet manager is on leave, so no driver falls outside their cycle.
Instant Alerts
Results come back from the DVLA in real time, so new points, approaching expiries and category changes are flagged as soon as a check runs.
Complete Audit Trail
Every check is recorded with its date and result, together with the action taken, ready for insurers, DVSA or an internal review.
UK and Northern Ireland Coverage
Pocket Box checks licences issued in England, Scotland and Wales through the DVLA, and verifies Northern Ireland licences through the DVA.
Part of the Fleet Platform
Licence results sit in the same system as vehicle checks, servicing reminders and tracking, so each driver has one record.
Who Needs Driver Licence Checking?
Any business with staff who drive for work needs a licence checking process. The duty is the same for a two-van contractor as for a national haulier, although the volume of checks differs, and volume usually decides when a driver licence checking service UK operators can schedule saves time over manual checks.
Fleet Operators
Every driver of a company car, van or HGV needs a valid licence for that vehicle, checked on recruitment and at regular intervals.
Grey Fleet Managers
Staff who use their own cars for work need the same checks as company vehicle drivers, plus proof of business insurance.
Logistics and Delivery
High-turnover driver pools take on agency and temporary drivers at short notice, and each one needs checking before their first shift.
Field Service
Engineers, sales staff and mobile workers who drive to customer sites need their licences checked like any other driver.
Care Providers
Domiciliary care workers often drive their own cars between client visits, so their licences and insurance both need checking.
Construction
Drivers of vans, HGVs and towing combinations need the right categories, and trailer entitlement is a common gap.

Grey Fleet Licence Checking
Grey fleet means employees using their own vehicles for work, such as driving to a meeting, visiting a client or travelling between sites. The employer’s duty of care applies to those journeys in the same way as to journeys in a company vehicle.
Grey fleet drivers need the same licence checks as company vehicle drivers. Their employer should also see insurance that covers business use, because social, domestic and pleasure cover does not usually extend to work journeys, and confirm that the vehicle is taxed and has a valid MOT.
Pocket Box adds grey fleet drivers alongside company vehicle drivers and runs the same scheduled checks and alerts for both. Their insurance certificates and MOT records can be stored on the driver’s file with a reminder before each one expires.
Part of Complete Fleet Management
Licence checking is one part of driver compliance, and Pocket Box fleet management software brings the rest into the same platform. Operators who want results fed into their own HR or payroll system can read how a DVLA licence check API works.

Driver Documents
Store Driver CPC certificates, training records and other driver documents alongside the licence data.

Vehicle Checks
Drivers complete daily walkaround checks and report defects on the Pocket Box Driver App.
Vehicle Tracking
See where vehicles are in real time and review driving behaviour.

Vehicle Cameras
AI cameras record incidents and support driver safety reviews.

Compliance Reminders
Automated alerts before MOTs, services, insurance renewals and other dates fall due.

Frequently Asked Questions
Drivers do not need to create a GOV.UK check code for each check. They complete the DVLA declaration once, and Pocket Box runs every scheduled check from it until it expires or the driver withdraws it.
No law sets a frequency, so operators set one by risk and write it into their driver policy. Common practice is every three months for HGV and other daily drivers, every six months for regular business drivers and at least once a year for occasional drivers, with new starters checked before their first journey.
The employer cannot check a licence without the driver's declaration, so the check does not run. Most operators set out in their driver policy that a driver who will not complete a licence check cannot drive for work until they do, and take HR advice before applying that to an existing employee.
Pricing depends on the number of drivers being checked and whether licence checking is used alongside other Pocket Box features, such as vehicle checks or tracking. Pocket Box provides a quote based on the size and make-up of the fleet.
